Help ยท Payments
Taking your first payment
Every payment starts from an invoice in your software. SwitchKeep Pay reads the balance, takes the payment on your merchant account and records it on that invoice.
Step 01
Open the invoice
In your software, open an invoice or quote with something due. A Pay $X button appears (Deposit $X for a deposit).
Step 02
Choose how the customer pays
Click Pay. On the Card tab, a separate secure window opens for the card details, so they never touch your software.
- You can charge the full balance or part of it, up to what's due.
- If bank payments are on for your account, the window first asks how the customer is paying, card or bank, with both amounts side by side.
- Customers with a saved card have it listed. Saved cards are never picked for you.
- To take one payment for several invoices, use Pay several invoices.
Step 03
Charge it
When the card is approved you see the balance before, this payment and the balance now, and that it's paid and recorded in your software.
- If a receipt email is on (it is by default), the customer gets one with your branding.
- Declined? The reason shows in red. Try another card or ask the customer to call their bank.
- If you see Not confirmed yet, don't take the payment again. Check Payments in the side panel first.
Step 04
Bank payments
For a bank payment, enter the name on the account and how the customer authorized it.
- It shows as pending until it settles, usually in 3 to 5 business days, and is recorded on the invoice once it does.
- When a customer pays by bank on your pay page, the page shows them the authorization and keeps a record of their agreement.
Step 05
Let it record
A window opens on your software to record the payment. Keep it visible until it finishes: hidden windows can pause your software.
- If it can't be recorded, the payment is still taken and saved. When a payment doesn't post explains what to do.
